Individual Study Plan (ISP) meeting

The purpose of ISP meetings is to monitor the progress of doctoral education.

The Department Representative (IR) is responsible for setting-up the meeting. The following individuals need to attend: the doctoral student, the main supervisor, and the IR. Assistant supervisor(s) should also participate.

ISP meetings should be held annually but may be held more frequently if necessary. The first meeting should take place no later than 2 months after the doctoral student has commenced the studies. At this first ISP meeting, the Director of Doctoral Studies (studierektor för FU) should be present.

Before each ISP meeting, the doctoral student should produce an updated ISP to be sent to the relevant parties well in advance of the meeting.

The following should be addressed during the meeting:

  • Discuss the doctoral student's learning and research work (progress, challenges), plan future activities, and address any issues.
  • If necessary, revise the updated ISP.
  • The doctoral student should be given the opportunity to have an individual discussion with the IR.
  • In some units/divisions the ISP meeting is followed with a developmental conversation (utvecklingssamtal) between the doctoral student and the IR.

Immediately after the meeting, the doctoral student should:

  1. Revise the ISP in accordance with the agreements made during the meeting.
  2. Lock the ISP in the system.
  3. Print a copy of the ISP.
  4. Sign it and obtain signatures from the supervisors and IR. (See below regarding digital signature).
  5. Submit the ISP to the Director of Doctoral Studies no later than one week after the ISP meeting. The Director of Doctoral Studies will sign it and forward it to the Head of Department for signature. The ISP will then be archived.

If a digital signature is used (via EduSign), all signatures must be handled in this way. Once all signatures are in place, the signed PDF must be emailed to the Director of Doctoral Studies.
