Recruit doctoral candidates

Process for recruiting and admitting doctoral students.

It's not uncommon for the formalities related to the recruitment of doctoral candidates to change. To ensure an efficient recruitment process, you, as the supervisor, should contact the HR administrator to obtain current information and updated forms before initiating the recruitment process.
 

Flowchart for the recruitment of doctoral students

Before the recruiting teacher (PI) initiates the process, it must have been discussed with the head of division/unit.

  1. PI and HR

    -The PI contacts HR to obtain templates and current information.

  2. PI

    -The PI formulates a requirements profile (English/Swedish version) and any potential 
     selection questions.
    -The PI assembles a selection committee.

  3. HR

    -The PI provides information to HR.
    -HR creates a case in Varbi and informs the PI.

  4. PI

    -The PI proofreads and approves the advertisement.

  5. Head of department 

    -The Head of Department approves the posting in Varbi.

  6. HR

    -The position is advertised for at least 3 weeks.

  7. PI and selection committee

    -Incoming applications are continuously reviewed by the PI and the selection committee.

  8. HR and PI

    -HR contacts the PI 3 days before the application deadline to ask about extending the 
     application period.
    -The PI informs HR about a possible extension of the application period.

  9. HR

    -After the application periods ends, HR sends the current statement template to the PI. 

  10. PI and selection committee

    -The PI and the selection committee review and rank the applications.
    -Suitable candidates are invited for an interview.
    -After the interview, the PI offers the position to the most suitable candidate.

  11. PI and head of division  

    -The PI writes the statement. 
    -The head of division signs the statement.
    -The PI contacts HR.

  12. HR and head of department  

    -HR drafts the employment decision and the admission the decision. 
    -The head of department makes the final decision.

    Note that candidates from third countries require residence permit (Swedish migration agency processing time approx. 1-6 months). Candidates from EU also need a coordination number (processing time approx. 6 - 8 weeks).

An Industrial doctoral candidate is handled at the Division/Unit.
